Capital Campaign Coordinator (7/29/25)
POSITION SUMMARY
As a member of the Development and Community Engagement team, reporting to the Director of Development and Community Engagement, the Capital Campaign Coordinator supports fundraising strategies and operations for the public phase of the Waynflete Forward Campaign. Primary responsibilities include driving and implementing day-to-day functions in the areas of data maintenance and reporting, preparation of materials that advance prospect and donor engagement, and detailed planning and execution of events designed to support fundraising efforts. This position also requires working with the Campaign Executive Committee and collaborating with colleagues in Marketing and Communications.
RESPONSIBILITIES:
DATA MANAGEMENT AND REPORTING
- Ensure all database information related to the campaign pipeline, prospect strategies, solicitations, and gift commitments is accurate and up to date
- Track and review fundraising progress towards $19M goal
- Prepare gift commitment and pledge forms along with accompanying correspondence
- Oversee tracking of gifts, pledge commitments, and pledge payments
- Track overall and breakdown of fundraising progress to goal
PROSPECT AND DONOR ENGAGEMENT AND STRATEGY
- Support all stages of prospect strategy
- Ensure prospect research is available and current, conducting basic prospect research as needed
- Prepare materials for solicitations
- Coordinate and execute general stewardship for campaign donors
- In conjunction with the Director of Development
- prepare agendas for weekly prospect strategy meetings
- prepare prospect meeting briefings
- prepare prospect correspondence including meeting requests, thank yous, and follow-up to prospect meetings
EVENT PLANNING AND SUPPORT
- Campaign Cultivation Events
- Plan, manage, and execute logistics for small to mid-size events, including coordination of catering, rentals, and liaising with event hosts and School leadership
- Manage event follow-up, including next steps as they relate to donor strategies
- Campaign Milestone Events
- Plan, manage, and execute logistics for events celebrating key campaign milestones such as the building opening Fall 2026
CAMPAIGN EXECUTIVE COMMITTEE (CEC)
- Organize CEC Meetings, including agenda and slide deck preparation
- Support the work of CEC Members in collaboration with Director of Development and Community Engagement
MARKETING AND COMMUNICATIONS
- Manage the production of campaign marketing and communications in collaboration with the Director of Development and the Director of Marketing
- Ensure campaign marketing and communications pieces such as the Campaign Case for Support and the campaign webpage are current and effective
- Serve as the content expert on and resource for campaign messaging, including most up-to-date fundraising totals and building progress
EXPERIENCE, KNOWLEDGE, & SKILLS
- A belief in independent school education, keen understanding of Waynflete’s mission and goals, and the ability to articulate its uniqueness and relevance
- 2 years or equivalent experience in capital campaign fundraising preferred
- Bachelor’s degree required
- Strong communication skills, detail-oriented, highly organized (project management experience is a plus)
- Proficiency in Microsoft Office suite or Google Workspace software equivalent, and experience with a database or CRM is valuable
- A solution-oriented mindset, a demonstrated sensitivity in handling confidential information, strong skills in diplomacy, communication, collaboration, and a willingness to adapt
- Some after-hour work required

ABOUT THE WAYNFLETE FORWARD CAPITAL CAMPAIGN
In the Fall 2023, Waynflete embarked on a multi-phase, comprehensive capital campaign, the first phase of which is focusing on a new Wellness and Athletics Center, as well as operating support through The Waynflete Fund. On June 6th, we launched the public phase of the campaign, with over $12 million raised to date toward the $19 million goal. The Campaign will be the focus of all fundraising activities for the coming year, at all levels of giving.

Substitute Teachers (7/24/25)
Waynflete is seeking Substitute Teachers for the Lower, Middle and Upper Schools. Applicants must have completed two or more years of college and demonstrate an enjoyment of working with children in grades EC-5 and/or 6-12. Training and orientation will be provided. Assignments will be for half or whole day coverage at a rate of $75 for a half day, $150 for a whole day. Maine Department of Education fingerprinting (CHRC) and a background check is required.

Bus Driver (7/21/25)
Waynflete School, a private independent Early Childhood – Grade 12 school, is seeking qualified school bus drivers for approximately 20 hrs/wk. Duties will include filling in for route drivers, driving for field trips, athletic events, and other school-related events during the afternoon, evenings, and weekends.

The Lower School Lead Extended Day Teacher is a part time, 10-month, on-site position that reports to the Manager of Auxiliary Programs for the 2025-2026 school year.
The Waynflete Extended Day Program reflects Waynflete’s mission—to engage the intellect of our students, to guide them toward self-governance, and to encourage their responsible and caring participation in the world. To that end, the Extended Day Program addresses students’ needs at the end of the school day with a variety of activities which include arts and crafts, sports, hands-on science exploration, team building challenges, outdoor play and exploration, walking field trips, STEAM, cooking projects, multi-generational lessons, and giving back to the greater Portland community. From homework help to fun physical activities, the program is designed to provide students with the opportunity to learn, grow, and socialize in a relaxed setting.
Location: Waynflete School Campus (360 Spring St. Portland, ME, 04102)
Responsibilities include, but are not limited to:

Waynflete’s Enrichment Music Instruction program provides students in grades 2–12 and adults, beginners as well as advanced musicians, with individual or small-group instrumental and vocal lessons. The program is open to Waynflete families as well as students and adults from the broader community. Our instructors are professional musicians with degrees in music education and/or performance—recording artists, composers, concert musicians, and teachers spanning all musical genres, including classical, folk, jazz, and rock.

Fall:
- Middle School Soccer Coach: Begins September 5th. Middle School sports practices are Mon/Tues/Thu/Fri 2:05 – 3:30 pm. Games are 3:30 or 4:30 pm.

Application Procedure
For teaching positions, a bachelor’s degree in relevant field is required; a master’s degree and teaching experience preferred. For administrative staff positions, we look for relevant experience and education for the posted job. We are particularly interested in candidates with a proven commitment to teaching and working in a diverse and multicultural setting.
